How Inventory Sync Works in WMS360

How WMS360 keeps your stock levels synced across eBay, Shopify, OnBuy, Amazon, and Wowcher in real-time to prevent overselling.

How Inventory Sync Works in WMS360

WMS360 automatically syncs your stock levels across all connected sales channels in real-time. When a sale happens on any channel, WMS360 reserves the stock and pushes the updated quantity to every other channel where the same product is listed.

The Overselling Problem

Without real-time sync, selling the same product on multiple channels creates a risk of overselling. If you have 161 units listed on eBay, Shopify, OnBuy, Amazon, and Wowcher, and three buyers purchase at the same time on different channels, each channel still shows 161 units. This leads to cancellations, bad reviews, and damaged seller ratings.

How WMS360 Solves It

  1. Sale happens on a channel — e.g., a buyer purchases on eBay
  2. Order syncs to WMS360 — the order arrives automatically in your Awaiting Dispatch queue
  3. Stock is reserved — WMS360 decrements the stock immediately (e.g., 161 to 160) and logs it as a Reserve activity
  4. Update pushes to all channels — WMS360 sends the new stock level to Shopify, OnBuy, Amazon, Wowcher, and any other connected channel
  5. All channels show the same stock — no overselling, no manual updates

The Inventory Log

Every stock movement is recorded in the Inventory Log at Inventory > Inventory Log. The log shows summary cards (Total Activities, Stock In, Stock Out, Net Change), colour-coded activity types (Reserve, Sold, Despatched, Delivery, Return, Received, Wholesale, Manual), and a detailed table with SKU, Product Name, Activity, Qty Change, Before, After, Order Reference, Shelf, User, and Date/Time.

SKU Activity History

For any individual SKU, you can view its complete Activity History showing total actions, stock in, stock out, net change, and a timeline of every movement with order references, users, and timestamps.
